How do you set up lead routing in HubSpot?
Decide the rules first
Write down who should get which lead before touching a workflow: by region, company size, product line or existing account owner. Decide what happens when a lead belongs to a company that already has an owner, and what happens outside working hours. Most routing problems are undecided rules, not missing features.
Build it in a workflow
Trigger on the event that makes a lead ready, such as a form submission or a lifecycle change. Branch on the properties your rules use. Use the rotate action to share leads between a set of owners, or set the owner directly when an account already has one. Add a task or notification so the owner knows.
Protect it
Make the properties it branches on required or enriched, because a blank field sends leads down the wrong path. Add a fallback owner for leads that match no rule. Keep one routing workflow rather than several that can overwrite each other.
Measure it
Track time from form to owner and from owner to first touch, and how many leads never get worked. Review the leads that went to the fallback each week: they show which rule is missing.
