For HubSpot Teams
AI that lives inside your HubSpot.
Lead scoring, routing, enrichment, follow-ups and forecasting, built in the HubSpot portal you already pay for: as properties, workflows and reports your admin can open and change. No new platform, no second login, and every piece handed over to your team to run.
What we build in HubSpot
01
AI lead scoring as a property
A score property with the reasons written beside it, learned from your own closed deals instead of a points table. Reps see why a lead is ranked high on the record itself.
02
Routing in workflows
Owner assignment by territory, segment or existing account, with a fallback owner and an alert, so no lead sits unassigned overnight.
03
Enrichment on create
New contacts and companies filled in the moment they arrive, with the source of every field recorded so a rep can tell a fact from a guess.
04
Lifecycle stages that mean one thing
Lead, MQL, SQL and opportunity defined in writing and enforced by workflow, so marketing and sales count the same funnel in the same report.
05
Sequences that start from a signal
Enrollment triggered by a buying signal rather than a list upload, with an AI-drafted first line a rep approves before anything sends.
06
Deal pipeline hygiene
Deal stages tied to buyer actions, required properties at the right stage and nowhere earlier, and an alert when a close date passes on an open deal.

An engagement, week by week
Weeks 1-2
Read the portal
Read-only first: properties in use and abandoned, lifecycle and lead status definitions, duplicate rules, the workflow inventory and who owns each one. The gaps we find set the build order.
Weeks 3-5
Build in place
Scoring, routing and enrichment as HubSpot properties and workflows, with an outside model only where the built-in tools cannot use the data or rules you need. Drafts never touch live records.
Weeks 6-7
Guardrails
Failure alerts on every workflow, approval steps where a mistake would cost a relationship, and reports that show what each automation changed and when.
Week 8
Handover
A runbook in plain language, a named owner for every workflow, and an admin on your side who has rebuilt one piece with us before we leave.
What we plan around in HubSpot
Your subscription tier. Much of this work runs on workflows and custom properties, and what is available depends on the tier you pay for. We check what your portal includes in the first week, scope to it, and say up front if something would need an upgrade, never after. Testing without touching live data. Where your account includes a sandbox we build there first; where it does not, we build behind a test pipeline or a filter so a draft workflow never edits a real record. Built-in AI first. If a feature HubSpot already ships does the job, it is cheaper to run and your admin already knows it.
Questions buyers ask
Are you a HubSpot partner?
No. zRev AI is an independent consultancy and is not part of HubSpot's partner program. We work inside your portal with the access you grant, and everything we build belongs to you.
Which HubSpot tier do we need?
Usually the one you have. Most of this work runs on workflows and custom properties, and their limits depend on your subscription. We check what your portal includes in the first week and scope to it, and we say before we start if any piece would need an upgrade.
Do you use HubSpot's own AI features?
Where they fit. A built-in feature is cheaper to run and your admin already knows it. We add an outside model only where the built-in option cannot use the data or the rules you need, and we write down why.
What access do you need?
Read-only access for the diagnosis, then a user who can build workflows and properties for the build weeks. Access is removed at handover, and every change we make is logged so your admin can review it.
What if we move to Salesforce later?
The logic is written down apart from the tool: what the score predicts, the routing rules, the stage definitions. Rebuilding in another CRM is then a translation, not a redesign.
