What is CRM data enrichment, and how should it work?

Short answer. CRM data enrichment fills in the facts a record is missing, such as company size, industry, location, role and the tools a company uses, from outside data sources. Done well, it runs automatically when a record is created, writes to defined fields with a source and a date, and never overwrites what a person entered.

Why it matters

Almost everything downstream reads these fields. Routing needs country and company size. Scoring needs industry and role. Reporting by segment needs all of them. A form that asks only for an email address leaves the rest blank, and every rule that depends on a blank field quietly fails or guesses.

When to enrich

At creation, before routing and scoring run, so the first decision about a lead is made on complete information. Then on a schedule, because companies grow, people change jobs and tools are replaced. A record enriched once and never again slowly becomes a confident description of the past.

Rules that prevent damage

Map each source to specific fields, and keep the source and date beside the value. Decide which wins when two sources disagree. Never overwrite a value a person typed in, since they usually know something the database does not. And match to existing accounts first, so enrichment does not create duplicates.

How to judge a provider

Test on your own records, not a demo list. Take a sample of accounts you know well and compare what each provider returns against the truth. Check coverage for your market specifically, since providers vary a great deal by region and company size. Accuracy on your segment matters more than total database size.
