How do you audit a HubSpot portal?

Short answer. Audit a HubSpot portal by checking, in order: duplicates and missing company associations, lifecycle stages against real deals, deal stages and their required fields, lead routing and owner coverage, the workflows that are still running, and the properties nobody fills in. Then rank what you find by its effect on the numbers leadership uses.

Start with records

Look for duplicate contacts and companies, contacts with no company, and companies with no owner. Check that the domain is filled on companies, since HubSpot uses it to associate contacts automatically. Bad record hygiene quietly breaks everything built on top.

Then stages and lifecycle

Compare lifecycle stages with what actually happened: companies that bought but are not marked as customers, and opportunities with no open deal. Read the deal pipeline stage by stage and check which fields are required to move forward. Stages that can be skipped or entered without evidence make the forecast optimistic.

Then routing and automation

Check how new leads get an owner, how long that takes, and how many never get one. List the active workflows, what each changes, and whether two of them fight over the same property. Old workflows built by people who have left are a common source of surprises.

Finish with reporting

Find the reports leadership actually opens and trace each number back to the property it uses. Properties that are empty on most records, and reports built on them, are the clearest candidates for cleanup or removal.
